Record a Voicemail Greeting in Zoom
General Info
A voicemail greeting is the audio that plays when someone calls your telephone and you don't pick up the call. By default, it says "We are sorry, there is no one available to take your call." This pertains to our new Zoom phone system, and is applicable to both physical desktop phones and extensions that are used through the Zoom application on your computer. This document will explain how to record your own greeting.
Procedure
First, ensure you have an extension through our Zoom phone system. If you don't have one, you can request one here.
Second, sign into Zoom with SSO. You can refer to this document for instructions on how to sign in to Zoom.
Once those are done:
- Navigate to Zoom.com and click your profile picture at the top right, to the right of the blue What's New button. In the drop down that appears, click on Settings.
- In settings, click Phone in the left column.

Note: If you have never accessed your Zoom phone settings before, you may see a screen at this point titled "Quick setting your extension of Zoom Phone." If you do, hit the blue Setup button without changing anything, then repeat the previous step to get to the Phone screen.
- In the Phone screen, click Settings along the top. You can navigate to this URL to get there directly: https://zoom.us/pbx/page/telephone/myZoomTelephony#/my-cloud-phone/settings
- Scroll down to the Call Handling section. Towards the bottom is a subsection titled "Greeting & Leave voicemail instruction." Click Edit, then click Add Audio.

- You are then given a window where you can set audio with text to speech, upload a sound file, or record audio with your computer microphone. Give your audio a name and set its category as Voicemail Greeting. When you're done, click the blue Add button.
- Once you've clicked Add, your voicemail is saved and set. You can change between your saved voicemail greetings later by clicking Edit and then Choose from asset library.
