Uses and Functionality
General Information
This article will cover the functionality of the Polycom Edge e400 series desk phones, which are the model that we use for desktop phones with the Zoom phone system. Some users may have slightly varying models but they should have the same functionality.
Note that only full time staff are given an extension number by default, and no staff are given a physical phone by default. You can request an extension number here, and a physical phone here.

Most actions on this phone are performed contextually with the directional pad and the buttons under the screen. By navigating the screen, you can select various options such as viewing your voicemail, searching our company directory, or changing your ringtone.
- These are the screen buttons. Their uses are contextual depending on what is on the screen. What they do will be written on the screen directly beside or above them, if they currently perform an action.
- These are the navigation buttons. Similar to the screen buttons, their usage is contextual, though they are almost always for scrolling around various options on the screen.
- This is the Home button. Pressing it takes you to the main menu where you can use your contextual buttons.
- The Hold button can put the caller on the other end on hold, which will play hold music to them until you pick the call back up.
- The transfer button can be used to send an incoming caller to a different extension. When you press it the screen will prompt you to dial another extension to forward the caller to.
- The volume keys can turn call audio up or down. They are slightly contextual, as there are separate volume levels for the handset, speakerphone, and headset modes.
- This button only works if a headset is connected to the deskphone itself. Most deskphones do not have a dedicated headset, but for those that do, this button can be used to pick up calls directly to the headset or to switch call audio over to the headset.
- This button will pick up a call in speaker mode or switch call audio over to speaker mode.
- The mute button will prevent the caller from hearing you and can be toggled on and off.
